Billing Administrator Full-Time

Job Summary

Fit is seeking a Billing Administrator to provide administrative support to the company regions and sites and to coordinate all activities with the corporate office to ensure efficient operations and timly billing of all work.  Pay is up to $18/hr depending on experience plus competetive benefits.  


Job Description

Safety/Ethics/Compliance
  • Provide administrative assistance to ensure operation in accordance with established safety procedures and policies and compliance with OSHA and DOT rules and regulations
  • Ensure ethical behavior and compliance with Code of Conduct for all activities within area of responsibility.
 
Work Tickets and Billing
  • Ensuring tickets have proper customer requirements including purchase orders
  • Job cost tracking 
  • Responsible for accurate and timely pricing and billing of all job tickets
  • Ensure Regional Manager reviews and approves all invoices prior to billing
Purchase Orders and Payables
  • Generate purchase orders and providing all relevant information in Sage for all items purchased
  • Ensure all billable purchases are processed 
  • Review and update all invoices received by the region
  • Responsible for collecting and submitting all credit card receipts to accounts payable monthly

Employees:

  • Ensuring accurate hourly time on all work tickets for area assigned
  • Run double booking report daily to ensure accurate time
  • Responsible for collecting all employee payroll changes (time off requests, direct deposit, tax withholding, etc.) for area assigned and submitting on a bi-weekly basis
  • Update and submit Per Diem spreadsheet for Region day to day work
  • Serve as back up for submitting per diem for outage/shutdowns.
  • Serve as back up for resolving payroll time issues and corrections in a timely manner
Quotes
• Responsible for typing quotes for work for customers upon request.


Job Requirements

  • Must have 2-3 years of clerical or administrative experience in a construction, industrial or manufacturing environment
  • Strong organizational skills
  • Microsoft Office experience - Excel required.
  • Demonstrate interpersonal and customer service skills
  • Capable of working independently on assigned tasks and accept direction on given assignments
  • Strong ability to multi-task
